Terms of Service

These Terms of Service govern the registration, booking procedures, and use of online portals provided by Mistley Kids Club Ltd. By accessing our parent portal or booking slots, you agree to comply with these terms.

1. Registration & Enrolment

Before a child can attend Mistley Kids Club (either After School Club or Holiday Club), parents or legal guardians must complete our comprehensive Welcome Pack registration wizard. This is essential to ensure we have all safeguarding details and comply with Ofsted standards:

  • Guardians must provide accurate contact info, emergency numbers, and authorized pickup lists.
  • A separate child profile must be registered for each sibling, detailing date of birth, dietary requirements, allergies, and medical records.
  • Registration requests must be reviewed and approved by our staff administration before children can attend booked sessions.

2. Bookings & Capacity Locks

All session bookings (After School and Holiday Club places) must be requested via our Parent Portal. Booking requests are subject to strict capacity limits and concurrency protections:

  • Session Reservation Locks: Selecting a date in the portal places a temporary lock (reserved place) for 5 minutes (300 seconds) to prevent other parents from booking the last available slot while you fill in booking notes. If you do not submit the request before the lock timer expires, the slot is automatically released.
  • Booking Types: Bookings are categorized as Mainstream Normal, SEN 1-to-1 Support, or Local Authority Funded spaces. Places are dynamically allocated based on child profiles, and bookings are only confirmed once approved by our admin staff.

3. Fees & Payment Methods

Our standard pricing rates (subject to change with administrative notice) are as follows:

  • After School Club: £10.00 per session. Optional school pickup is available for an additional £2.00.
  • Holiday Club: £30.00 per full-day session. Optional hot lunch prep is available for an additional £4.00.

Invoices are issued on a regular basis. All invoices must be settled by their specified due date. We support two payment methods:

  • Bank Transfer: Payments must specify the Invoice Number in the bank transfer reference field.
  • Childcare Vouchers / Tax-Free Childcare: Parents must select their registered voucher provider and input a valid voucher claim reference code during invoice settlement.

4. Late Pickup Policy

Mistley Kids Club operates strict closing times: After School Club closes at 18:30, and Holiday Club closes at 18:00.

Parents who fail to collect their child by the closing time will incur a late collect fee of £10.00 for the first 15 minutes, and £5.00 for every subsequent 15 minutes. This charge covers the additional staffing costs required to supervise your child outside of standard operational hours.

5. Medical & Safeguarding Regulations

As an Ofsted-registered childcare provider, we have absolute legal obligations to protect child safety:

  • Parents must log and sign consents for any medication that needs to be administered during club hours. All medication logs are witnessed and signed by approved playworkers.
  • In the event of a medical emergency, if parents cannot be contacted, you authorize Mistley Kids Club staff to consent to emergency medical treatment or NHS hospital referrals on your child's behalf.
  • We reserve the right to exclude children from sessions if they display symptoms of infectious illnesses (in accordance with Health Protection Agency guidelines) to protect the health of other children and staff.

6. Account & Portal Termination

We reserve the right to terminate access to the parent portal or suspend future session bookings under the following circumstances:

  • Repeated failure to pay outstanding invoices within 30 days of the due date.
  • Inappropriate behaviour, abuse, or harassment directed at our playworkers, staff, or other families.
  • Attempts to abuse or tamper with the web application infrastructure (e.g. attempting SQL injection, bypassing RLS gates, or bulk automated locking of calendar dates).

7. Governing Law

These Terms of Service, and any disputes arising from them, shall be governed by and construed in accordance with the laws of England and Wales. You submit to the exclusive jurisdiction of the English courts.
